Cold email deliverability: the complete guide to not getting flagged

Deliverability is the single thing that decides whether cold email works. You can write the best email in the world; if it lands in spam, it does not exist. And a domain that gets burned takes weeks to recover, if it recovers at all. So the whole game is protecting your sender reputation.

1. Get authentication right first

Before you send a single cold email, three DNS records must be in place:

  • SPF tells the world which servers may send for your domain.
  • DKIM cryptographically signs your mail so receivers know it was not tampered with.
  • DMARC ties the two together and tells receivers what to do if a message fails.

Without all three, modern inbox providers treat you as suspicious by default.

2. Warm up the mailbox slowly

A brand-new mailbox that suddenly sends 200 emails a day looks exactly like a spammer. Warm-up means starting small - around five sends a day - and ramping up over weeks as the mailbox earns a reputation. There is no shortcut. Read our email warm-up guide for the full ramp.

3. Send at a human pace

Real people do not send 500 identical emails at midnight. They send a handful, spaced out, during working hours. Pacing your sends inside working hours and a few minutes apart is one of the strongest signals that you are a person, not a machine.

4. Watch bounces and complaints, and stop early

A spike in bounces or spam complaints is the first sign of trouble. The right response is a kill switch: pause all sending automatically at the first spike and keep it paused until a human has looked. Stopping early is cheap; a blocklisted domain is not.

5. Send one-to-one, not one-to-many

The safest cold email is indistinguishable from a person typing to one other person. No bulk-list machinery, no “upload 50,000 contacts” button. That single constraint shapes everything else about how deliverable your mail is.
