The basics

What is PitchButler?

An AI SDR plus CRM in one. It finds the right person at a company, writes a considered one-to-one introduction, sends it from your own Gmail at a human pace, reads every reply, and hands you the conversation the moment someone is genuinely interested. The pipeline, the history and everything the AI has learned live in one place.

Is this just another mass-mailer?

No, structurally, not just philosophically. PitchButler sends one-to-one email, like a person typing to one other person. There is no bulk-list machinery, no "upload 50,000 contacts" button, and no way to blast. That single choice shapes everything else about how it is built.

Who is it for?

B2B teams that sell with conversations, not campaigns: founders, small sales teams, and agencies who want a steady stream of warm replies without hiring an SDR or babysitting a sequencer.

Why is there a waitlist?

Because warm-up is real and hands-on. A brand-new mailbox cannot safely send at volume on day one; it has to earn its reputation slowly, and we watch that ramp for every account. So we deliberately take on about 30 new teams a week, no more. The waitlist is not a growth tactic; it is the same "send less, not more" instinct that runs through the whole product.

Sending and deliverability

Does it send from my domain?

From your own Gmail mailbox, through Google's official API. Your name, your address, your sent folder. Replies land in your inbox like any other conversation. No shared sending pools, no rented domains.

Will this burn my domain?

It is engineered so the answer is no: a slow warm-up ramp, human pacing inside your chosen hours, daily SPF/DKIM/DMARC and blocklist checks, and a kill switch that pauses everything at the first bounce or complaint spike. The system's bias is to send less, not more.

How many emails a day will it send?

Fewer than you would think, and that is the point. A fresh mailbox starts at around five a day and ramps to about fifty over weeks. Tools that promise thousands a day are describing the speed at which they will burn your domain.

What happens if my bounce rate spikes?

Bounce and spam-complaint rates are watched continuously. A spike trips a kill switch that pauses all outbound automatically, and it stays paused until a human has reviewed what happened. Your sender reputation is treated as the first thing to protect.

The AI

Which AI does the thinking?

Claude, by Anthropic: the Opus model first, Sonnet as the reliable second. If neither is confident, nothing is sent; the task waits or goes to a human. There is no "cheap model for the customers" tier, and no canned replies pretending to be AI.

Can I approve every email before it sends?

Yes. Approval mode has the AI research, draft and queue, while you approve, edit or reject each send. Many teams start there and loosen the reins once they trust the output.

What does it do when it is not sure?

It asks. An ambiguous reply match goes to a review queue where you bind it to the right conversation in one click, and the pipeline replays from there as if the match had been clean. Guessing is how automated email gets you in trouble, so it never does.

Will prospects notice they are talking to an AI?

The AI writes short, specific, researched emails in your voice, and the moment a conversation turns real it is handed to you. Sensitive topics (legal, procurement, complaints) are never AI-answered at all; they go straight to a human with context.

Opt-outs and data

What happens when someone opts out?

They are never contacted again. The opt-out is permanent, has no undo, and is enforced at the database: every send path filters do_not_contact = false. This is the backbone of the whole system, not a checkbox.

How do you handle GDPR?

Built in Sweden, for the EU reality: permanent opt-outs, data export and erasure on request, and a suppression list that survives deletion so an erased contact cannot accidentally be re-imported and emailed again. See our privacy policy for the full picture.

What do you do with my Gmail access?

Send and read email on the mailboxes you explicitly connect, nothing else. Disconnect an account and its Gmail data is purged. Access goes through Google's official OAuth flow and can be revoked by you at any time.

Pricing and getting started

How does pricing work?

Credits. You top up, and the engine spends credits on the work it actually does: research, writing, reading and scoring replies. No per-seat licences, no annual lock-in, and a hard budget cap you control. Details on the pricing page.

What do I need to get started?

A Gmail or Google Workspace mailbox you can connect, a short description of what you sell and to whom, and a list of companies (names are enough; PitchButler finds the people and their addresses). The warm-up ramp takes care of the rest.

How long until I see results?

Expect the first weeks to be quiet by design: the mailbox is earning its reputation on the warm-up ramp. Replies typically start arriving as volume ramps, and every one of them is read and scored from day one.
